Dear Pinecrest Swim and Tennis Members,
We are only days away from opening weekend and looking forward to the start of what seems to be a shift back to our normal summer routine.
As many of you are aware, Fairfax County is lifting COVID restrictions, in accordance with state guidelines, on May 28th. This is particularly exciting as this directly impacts our opening plans. We have been approved to lift most of our restrictions, which are outlined below.
Opening Day Policies
· Standard cleaning practices will be reinstated
· The pool will purchase cleaning products for member use to wipe down surfaces
· Some new furniture is already in place with the remainder arriving shortly after pool opening. After being stored for almost two years, the old furniture is in barely usable condition, so you may bring your own chairs until the new furniture arrives.
· Masks will be worn while indoors (entering/exiting the clubhouse, in the restrooms) – masks on deck are encouraged but not required and six feet of separation is recommended
· Bathrooms will be open for use
· The Pinecrest Piranhas return to action in both swim and dive
· Serene Swim will be reinstated at the normal times both Saturday and Sunday
· Pool Capacity will be limited to 166 people (75% capacity) with no sign-ups required
· Guests will be allowed (on-line guest payment required)
· Front desk will remain cashless – please complete any financial transactions on-line before coming to the pool

Dear Pinecrest Swim and Tennis Members,
We are excited for the upcoming season and are hopeful for a return to normal operations this 2021 season. When you arrive this year it will be to brand new deck furniture and a completely renovated pool! The Board has met to determine this year’s guidelines based on the current COVID 19 guidelines and direction from NV Pools. Below are the updates to last year’s policies that will be put in place for the start of the 2021 pool season. As we did last year, the Board will meet regularly to determine if the below list needs to be modified based on changing COVID 19 conditions.
Opening Day Policies
- Surface Cleanings will no longer be required between sessions (standard cleaning practices will be re-instated)
- The Pool will purchase cleaning products to wipe down surfaces for member use
- All Pool Furniture will be in place for member use (new furniture anticipated to be delivered for opening day)
- Masks will be worn while indoors (entering/exiting the clubhouse, in the restrooms) – masks on deck are encouraged but not required and six feet of separation is recommended
- Bathrooms will be open for use
- The Pinecrest Piranhas return to action in both swim and dive
- Serene Swim will be reinstated at the normal times both Saturday and Sunday
- Pool Capacity will be limited to 111 people at any time/each session
- Guests will be allowed (sign up required)

MemberSplash Updates
The Membersplash system is now located on the swim club homepage and will be utilized by the club this year in an effort to reduce transactions at the front desk for the safety of our members and the guards. The MemberSplash System will be used for weekend session sign up (formally sign up genius), dues payments, guest pass purchases, party reservations (when parties are allowed), social activity events, aqua fitness, etc. If you have misplaced your user ID please email membersplash@
The pool capacity at the start of this season is an increase to how we finished off last year; and the hope is to continue to relax the guidelines and increase the capacity as the summer progresses. We also have a very excited social chair itching to spend some money on some great events and activities. We will keep you posted on dates and times of those events.

The board has received multiple requests from the membership to extend the pool season and we are pleased to announce the pool will be remaining open (on a slightly modified schedule) until September 20, 2020!!! Please see below for the extend hours and dates. With the limited hours we ask that members sign up for only one session per day. The Board reserves the right to remove names of multiple sign ups within one day.
Monday thru Friday – 4 pm to 8 pm
Saturday and Sunday – 9 am to 8 pm
In addition to the above hours, Serene swim hours will be available for both Saturday and Sunday from 9:00 till 11:00 am as a one session sign up. Aqua Fitness classes will be held Sunday only during the hours noted.

Two members of the Pinecrest Piranha’s swim team were recognized by the Fairfax County Police Department for saving the life of a child. Swimming is a fundamental life-saving skill. Being on swim team not only strengthens your child’s ability to swim but could help save a life. If you or your child is interested in joining the team, please feel free to reach out to the board for further details. We are very proud of our Piranha heroes, way to go Ethan and Ella!!!!

Dear Pinecrest Members,
This is just a reminder that despite the recent increase in COVID 19 outbreaks, Virginia remains in Phase 3 moving into the month of August so all current COVID 19 guidelines (both state and pool) still apply. An updated link has been included below for the August 2020 SUG.
One policy that was recently changed was the ability to allow guests at the pool. However, there appears to be some confusion on this policy. Members have been signing up for multiple spots within a timeslot (sometimes using family member names) and then showing up with guests instead. This is in violation of the guest policy guidelines, but more importantly, can and has deprived our fellow members of their paid pool benefits. Please ensure your guests are aware of all Pinecrest rules and requirements before entering the pool to avoid any potential issues.
Enjoyment of the pool by our membership is of utmost importance to the board. If violations to the guest policy continues, we will be left with no option other than to cancel guest privileges altogether and/or suspend offending memberships in accordance with the bylaws.
In an effort to help avoid such a situation, below is a recap of the Guest Policy during the pandemic:
- Guests will be admitted as capacity allows
- The number of guests is limited to 1 per member in attendance. This means that if only one member of a family of 5 is in attendance only 1 guest is permitted, not 5.
- Members must be present at the front desk to check in your guest
- Guests must be accompanied at all times by members. If the member leaves the pool, the guest must also leave.
- Guest must maintain social distancing and face covering requirements
- Guest fees cannot be collected at the gate
- Guest passes must be paid for in advance (online or by mail) any time prior to your guest(s) arrival. PAYMENT DOES NOT GUARANTEE GUEST ADMITTANCE AT THE TIME YOU HAVE SELECTED
- SignUp Genius (SUG) is not available to hold reservations for guests. We recommend checking SUG before inviting guests to ensure the time slot you wish to attend is not close to capacity in case other members sign up immediately prior to a session starting.
We appreciate everyone’s continued cooperation during the “summer of fun.” With your help, we have been able to start and complete a Pinecrest swim and dive season, host yoga sessions on the basketball court, continue water aerobics and even host a movie night!!!! There are more social events to come and we will provide members updates as the plans are reviewed for safety and finalized.

The Board is pleased to announce that Northern Virginia will be entering into Phase 3 on July 1, 2020. For a complete list of the updated rules and regulations please visit: https://www.virginia.
The following changes to the capacity and guidelines at the pool beginning July 1st will be as follows:
- Capacity will increase from 50 to 75 members
- The Baby Pool and shallow end will now be open (10 member capacity at one time – including children)
- Lane lines go away with the exception of the dedicated swim lane but social distancing guidelines still apply
- There will no longer be a limit on the dive well but social distancing guidelines still apply
- Time slot durations will remain the same
- Sign up genius still will be used
- Metal Tables at deck and under the canopies will be available for use
- No chaise or chairs will be provided (still bring your own chair)
- Ping pong will remain closed
- Volleyball will be open (You will need to bring your own ball)
- The no guest policy will remain in place
- Concessions will remain closed
- Grills will be available for use
- The Playground or Basketball Court will remain closed

Pinecrest July pool sign-up
While we are excited to get closer to business as usual, we are also concerned about the inherent risk of infection that these guidelines bring about. Therefore, we ask you to abide by the rules as they are set in place by the CDC which still recommends the use of face covering in all pubic settings as well as maintaining social distancing between members. In an effort to reduce the risk, the board has decided to provide “clean up buckets” that will be placed in areas we believe will have higher traffic. The buckets will be equipped with cleaning solution and paper towels that will allow members to wipe down areas before and after they use them if they so choose.
Any violation of these rules could result in member privileges being revoked or the pool being shut down by local authorities. Just a reminder, the guards are not here to enforce CDC guidelines, they are hired to keep us and our children safe while swimming. Please continue to follow the rules and show them and the other members the respect they deserve.
One other change the board decided to implement after review and discussions from member’s feedback is the elimination of the Serene swim hours on Saturday’s. This time slot (8:30 to 11 am) will now be open to all members. The decision was based on the fact that the demographic that has been most affected by the guidelines are the members with young children. We hope the opening of this time slot to all members will allow families the ability to utilize the extra hour within this particular time slot to enjoy the pool a little longer with their children. Serene Swim on Sundays will still abide by the same rules as before.

June 18th Phase 2 update
Dear Pinecrest Members:
The board has been monitoring the participation levels over the first few days of the phase 2 guidelines and have decided to implement the following changes to the current system:
- The capacity will be increased from 36 members to 50 members beginning this Saturday 6.20
- Signups will now be opened on a DAILY basis. Sign up time will remain 6 pm for the next day sessions
- Members will now be allowed to sign up daily as long as slots are available
- This Saturday will be the first day of the 50 person capacity
ALL PREVIOUS GUIDELINES WILL REMAIN IN PLACE.
This increase from 36 to 50 people will obviously allow more members to utilize the pool but it will also cause greater demand for the limited spots to utilize the swimming lanes. We ask all members to be cognizant of the time you spend in the pool to ensure all people within the time slot have the opportunity to swim or dive.
We continue to see sporadic use of mask wearing while members are on deck. Mask wearing is a CDC and local jurisdiction mandate and needs to be followed 100% while on the pool deck. A reminder of the others pool guidelines that still apply moving forward are:
- Time Slots will be 90 minutes long with 30 minutes designated for cleaning. Serene Swim sessions will be 1 hour due to time restrictions
- Swimming is not required to sign up for a time slot; but social distancing of 10 feet is required on the pool deck while at the pool
- 3 swimmers per lane remains in effect
- Recreational swim is still prohibited. If you decide to utilize the lanes, you need to be moving
- You will be required to bring your own chairs (helps expedite the cleaning process)
- Baby pool and shallow end will remain closed
- Children under 12 are now allowed to swim when accompanied by an adult, as the norm per Pinecrest bylaws. A swim test will be required on day 1
- Children/Toddlers that need assistance will be allowed in the lane under the supervision of a parent or guardian and the guidelines for lane use are followed
- Basketball, volleyball, playground, grills, tether ball, ping pong all will remain closed
- No guests are allowed
- Verbal acknowledgment of the State mandated Covid 19 questionnaire will be required when entering the pool. A sign will be posted at the front desk with the following questions:
- Have you been diagnosed with Covid 19 in the past 14 days
- Are you experience the following symptoms – Cough, shortness of breath, fever of over 100.4, chills, muscle pain, sore throat, loss of taste or smell
- Have you been in contact with anyone known or presumed to have COVID 19 within the past 14 days

We have noticed that the amount of shaded seating has been limited due to the canopies with tables being off limits. In order to accommodate more shaded areas, the tables and benches have been removed from under the canopies to allow for additional shaded seating. We will continue to monitor the daily activity at the pool and make adjustments based on those observation as well as member feedback. We simply ask that you continue to follow the guidelines set forth and enforce those same rules with your children. This will ensure the pool can remain open and everyone can safely enjoy the pool.

Pinecrest Members,
The board is pleased to announce that Northern Virginia will be entering into Phase 2 this coming Friday, 6.12.20!!! In accordance with the Governor’s mandate, Phase 2 allows gatherings of 50 people along with the relaxation or removal of previous rules set in Phase 1. Despite the order to allow 50 people at gatherings, the board has unanimously decided to a 36-person member limit per time slot for the first few days of Phase 2. This will allow us the time to ensure that we have the staff capacity for proper cleaning and sanitizing of surfaces as well as sufficient bandwidth to monitor and ensure that social distancing guidelines are being followed. Your safety is our top priority. The board is committed and will meet to reevaluate that number based on the feedback from both the members and the staff and will advise everyone once a determination to increase capacity has been made.
The board and the pool staff appreciate all of your efforts and adherence to the rules that have been set in place by the state; and we ask for your continued cooperation in following the new rules. The most common violation we are seeing at the pool is the lack of mask wearing outside of the pool, your cooperation with this rule, along with the new rules noted below will allow for the expedited increase in member capacity.
- Phase 2 Pool Rules and Regulations to utilize the pool are as follows:
- 36 Members will be allowed per time slot.
- Time Slots will be 90 minutes long with 30 minutes designated for cleaning. Serene Swim sessions will be 1 hour due to time restrictions

- Recreational swim/play is still prohibited. If you decide to utilize the lanes, you need to be moving
- The Diving board area will be open and (3) members are allowed per board (1 in water – 1 on board – 1 in line)
- You will be required to bring your own chairs (helps expedite the cleaning process)
- No tables will be available (helps expedite the cleaning process)
- Baby pool and shallow end will remain closed
- Children under 12 are now allowed to swim when accompanied by an adult, as the norm per Pinecrest bylaws. A swim test will be required on day 1
- Children/Toddlers that need assistance will be allowed in the lane under the supervision of a parent or guardian and the guidelines for lane use are followed
- 10 feet of separation rule is in effect. This applies even to family members. We cannot expect the guards to decipher who is who so your cooperation with this rule is appreciated
- Masks of face coverings must be warn when not in the pool
- Guards are not responsible for enforcing COVID-19 Social Distancing rules; each member is expected to adhere to the published guidelines
- Bathrooms – open but no showers. The amount of sinks/toilet and urinals will also be limited (again to help expedite the cleaning process)
- Entrance to the pool will now be through the building
- Basketball, volleyball, playground, grills, tether ball, ping pong all will remain closed
- No guests are allowed

We continue to see high demand for time slots and we are at the point where the current system is at 100% capacity and the slots fill up within minutes. Therefore the below are guidelines that will be implemented for the sign up genius effective immediately to allow more members to participate:
- When registering, please provide individual name(s) that will be signing up even if you are signing up as a group. Do not use one name to sign up for someone else in your family or the whole family. This helps avoid confusion or the perception that people are “hogging”
- Individual lane sign up is no longer required.
- The sign up genius availability schedule will be as follows:
- Sunday at 6 pm – sign up for Monday and Tuesday
- Tuesday at 6 pm – sign up for Wednesday and Thursday
- Thursday at 6 pm – sign up for Friday (THIS WILL BE THE FIRST DAY TO SIGN UP FOR PHASE 2 Slots!!!!)
- Friday at 6 pm – Saturday and Sunday
- We ask that families or individual’s only sign up for one time slot for each session to allow all members the ability to utilize the pool
- We ask that families or individual’s only sign up for one slot every weekend

Pinecrest Phase 2 – June Sign-up
We hope the changes noted above along with the increase in capacity will allow more members to utilize the pool. We also want to make you aware that starting on June 15, the pools regular hours apply which allow for additional time slots. The time slots will be updated accordingly for the Sunday 6.14.20 sign up. If you have special needs or circumstances that do not allow you to utilize the pool in accordance to the state guidelines, please feel free to reach out to the board directly and we will work to accommodate you as best we can in accordance with the guidelines.
One item that is not noted above, but I am sure people have questions on, is the Pinecrest Swim and Dive team. Phase 2 does allow for limited participation on the swim and dive team but we do not have full details at this time. We do want to ensure all members that any swim and dive team activities will not negatively affect pool hours during Phase 2.

Dear Fellow Pinecrest Members,
Northern Virginia remains under phase 1 of the pandemic and our pool will continue to do so until notification of a change is provided by the Governor of Virginia.
We are pleased to note that since the start of the phase 1 opening we are seeing over a 90% capacity for the time slots. The board has also received positive feedback and suggestions from the members along with the pool staff and will be implementing these suggestions and changes starting this upcoming weekend (6.6.20).
- Time slots will remain 45 minute sessions but the clean time has been reduced to 15 minutes. This will allow for additional time slots which will be posted to the sign up genius.
- The newly updated sign up genius will be available beginning at 6 pm this Friday. Pinecrest Lap Swim Sign-up June 6-12
- Moving forward the sign up genius will now open for registration at 6 pm the day prior, no more booking in advance will be permitted.
- Dues are required to be current in order to sign up. Any time slots taken by non-current members will be removed.
The board appreciates your patience as we continue to provide what we feel is the safest and most fair way to utilize your pool. As new information becomes available we will continue to provide updates to our fellow members.

Dear Pinecrest Members,
The Board is pleased to announce the POOL WILL BE OPENING for Phase 1 beginning tomorrow Saturday 5.30.20. Please be aware that while the pool will be open, it will do so on an extremely limited basis and will be following the mandatory requirements and best practices outlined by the Governor of Virginia. We ask for your cooperation in abiding by the rules. All rules noted below are based on CDC, The Virginia Department of Health, Government guidelines as well as USA swim recommendations:
- The pool is only opened for LAP SWIMMING OR LAP WALKING ONLY
- Maximum Occupancy for the pool during phase 1 is 6 swimmers (6 lanes = 6 swimmers)
- One swimmer per lane
- No children under the age of 12 will be permitted to swim (VA Department of Health Guideline)
- The tennis courts will remain open
- The following areas will be off limits
- Basketball Court
- Playground
- Volleyball
- Baby Pool
- Sliding board
- Diving Board
- No Chair will be provided
- No Tables will be provided
- No Grilling
- Bathrooms
- The entrance into the pool will be from the side gate, not through the main building and masks will be required when entering.

- If you are waiting for your time slot to begin, you must remain in your car until the gates are open
- The time slots will be for 45 minutes with a 30 minute time for the deck to be cleared and allow for the lifeguards to wipe down all surfaces. The board will reevaluate these times and adjust after a few days.
- The Serenity hours (over 18) will still be in effect but with the same guidelines and rules as noted above
- Pool Hours will follow the pre school closing hours. (in effect till June 12)

While this is not an ideal scenario for any of us, Phase 1 reopening will allow the pool and the board to evaluate the processes noted above so they can be reviewed and perhaps revised based on lessons learned and implemented for the Phase 2 regulations (fingers crossed). At this time we are unaware when phase 2 will begin, but the board will continue to meet as needed in order to review and inform the members of the guidelines that will need to implemented during that phase as timely as possible.

Dear Pinecrest Members,
We hope you are continuing to do well in these challenging times.
Once local and state authorities allow Northern VA to enter Phase 1, the board has decided to open the pool. Local and state guidelines for Phase 1 allow us to open for lap swim only. A specific date has not yet been announced, but our current target day is Friday, May 29.
We will be putting out the specific guidelines for our pool usage in Phase 1 prior to the pool opening. Please be advised that Phase 1 does specify no gatherings of more than 10 people.
We thank you for your patience as we work out the details for the pool opening in order to keep all of you, our members and our pool staff safe while we follow all of our state and local guidelines.

Pinecrest Members,
A reminder that dues for the 2020 season are due on 23 MAY. The pool requires timely payment of dues in order to cover costs such as start-up, chemicals and routine maintenance. These items are where the majority of your dues are allocated and are ongoing costs whether the pool is open or not.
The Board is assessing these maintenance costs against the delayed opening of the pool due to the COVID 19 pandemic. The board will assess adjustments once an opening date and expenses are determined. Be advised that delay or default of payment of the annual dues will incur the penalties noted in the by-laws. We encourage you to submit your payment (if you have not done so already) to avoid such penalties. Please contact our treasurer or membership chair during this pandemic/financial crisis.
Our pool management company will have the pool ready to open once the COVID 19 restrictions are lifted. We are continually monitoring the notifications and regulations from both state and federal government and will advise if and when the pool can re-open and in what capacity. We will keep you advised as situation develops.
We hope you are staying safe and well as this pandemic continues. The Board is dedicated to re-opening the pool in the safest manner possible but only under the guidance of the local, state and federal guidelines.

Outdoor Video Surveillance
The Pinecrest board voted to have an outdoor video surveillance camera installed at Pinecrest due to recent events. A week ago there was unauthorized dumping of garbage and old household equipment where our dumpsters normally reside. On Thursday, May 7th individuals decided to jump the fence and throw furniture and equipment into the deep end of the pool. The new system is fully operational. It will be activated and monitored whenever the pool is not open. Board members will be notified when the system is activated and local law enforcement will be notified when appropriate.

We hope you all are well and staying safe in these trying times. The board has received a number of inquiries into how the annual dues will be handled in the current environment.
We have made a decision to delay the due date for dues collection until 23 MAY (original pool opening date) to allow time for state and local authorities to make decisions on the current situation.
The pool, however, does require minimum maintenance in order to avoid lasting damage. This entails, but is not limited to, the annual start up and routine maintenance such as chemicals and equipment monitoring. These costs are real and need to be accounted for whether the pool opens as scheduled or not. As of now, we intend to open the pool on or as close as possible to standard opening day but only under the direction of local jurisdictions having authority to do so. If the pandemic continues into June, the board will reassess our options for opening. As the situation evolves and our city, county, state. and, national leaders make decisions we will evolve to meet these directives and will make adjustments as necessary.
We ask for your patience in this unprecedented and unique situation. There are no guidelines to follow for this scenario but rest assured we will continue to meet and assess what is best and fair for both Pinecrest and the health of its members. Annual Meeting Update
Dear Members,
In this unprecedented time dealing with COVID-19 and the closure of schools and businesses, the board finds it necessary to look for alternative options for our annual meeting to keep with the social distancing recommended by the CDC.
In that light, we have leveraged teleconferencing technology to connect with the membership for our annual meeting. A dial in number will be provided via email. Voting on the budget and board positions will be by proxy as in years past. The proxy is available on the main menu of the Membersplash site.
We are in constant contact with our pool management company NV Pools as they monitor guidelines provided to community pools and recreational businesses. We look forward to life returning to normal.
